Job Description:
Position Title: Builder Coordinator Department: Hubbell Homes, LC Reports To: Director of Construction Systems and Technology This position works Monday through Friday, 8:00 a.m. to 5:00 p.m., with a one-hour, unpaid lunch break. Duties and Responsibilities Construction Systems and Technology 1. Prepares file folder labels and job folder setup template file structure to match up with job codes, vendors by company name, and communities. 2. Assists with building and maintaining the structure of the F drive for Hubbell Homes. 3. Updates the rebate spreadsheet using notes from trade partner meetings and creates action items list. 4. Manages the Hubbell Homes tasks including shared calendar ensuring all events, company meetings, staff reviews, strategic planning meetings, etc., are noted. 5. Audits invoices and purchase orders from scheduling through accounting. 6. Issues new vendor packets through Outlook. 7. Updates vendor insurance across departments. 8. Audits payment history and makes correction with approved direction. 9. Maintains schedules including but not limited to changing vendors with direction. 10. Works with field staff to handle gas service applications, RFI’s, VPO’s, and change orders. 11. Takes meeting minutes in staff meeting. 12. Edits Hubbell University training program presentation. 13. Acts as back up for front desk/receptionist on as-needed basis. 14. Sales Simplicity maintenance. Design Department 1. Scans red-line drawings and checklists, stores on F drive, and distributes to appropriate parties. 2. Gathers backup information from the F drive for site analysis preparation and follows up with homebuilders to ensure information is returned and upon receipt, scans to the F drive. 3. Prints off copy house and prepares F drive files and file folder in preparation for the red-line process. 4. Responsible for building permit process from preparing paperwork, requesting energy review paperwork from assigned vendor, submittal to city, requesting payment from Accounting Department, and scanning issued permits into F drive and Database of Homes. Sales Department 1. Updates and enters BTOs into the Database of Homes. 2. Prepares and compiles information for award recipients at sales rallies. 3. Establishes new files in Smeadlink database and prepares labels and file folders. Performs miscellaneous scanning and filing. 4. Prepares various reports including closing worksheet for staff meetings and development-by-builder report on a weekly basis. 5. Performs follow-up responsibilities on building permits and certificates of occupancy. 6. Works with the Real Estate Service Center to ensure all required closing documents are signed and saved. 7. Prepares gift bags with closing documents and keys for home closings. 8. Receives proceeds checks from sales agents and files to F drive before delivery to the Accounting Department. Warranty Department 1. Scans documents, including addendums and warranty agreements, and directs them to the F drive and Punchlist Manager program. 2. Assembles warranty binders and mails out warranty documents to homeowners that arrive after closing, including Energy Star booklet, pest control certificate, and waterproof warranty information. 3. Reports sales information to Eliant for homeowner survey process.
Job Qualifications:
Special Requirements · Associate’s degree in business administration or related field preferred · Minimum three years’ experience in an administrative capacity · Knowledge of construction and its terminology a plus · Excellent MS Office skills including Word, Excel, Power Point required, Access desired · Knowledge of computer accounting system (Timberline) helpful · Ability to type 70 wpm · Excellent proofreading skills and attention to detail · Ability to handle multiple tasks, prioritize and meet deadlines under pressure · Ability to interact with all levels of management · Excellent written and verbal communication skills
