Position Summary: The Administrative Assistant supports the vision and mission of Concordia University Texas by providing office services and administrative support to the Center Director, M. Ed. Regional Coordinator, staff, students and faculty. This position supports all active academic programs and teaching sites in the center's geographic region. Essential Position Duties: This position will perform general administrative tasks including coordinating appointments, answering the phone and correspondence, filing, ordering supplies, and greeting visitors, faculty, staff and students. The Administrative Assistant will be responsible for coordinating travel arrangements for the Center Director, including lodging and transportation. This position will coordinate events for Remote Operations, including Faculty In-Service, Open House, Back to School Orientations, Guest Speakers and other events as scheduled. The Administrative Assistant will support academic instruction by facilitating classroom needs for faculty and students; scheduling classes and tests; preparing and distributing teaching agreements and all aspects of textbook order, distribution and return. This position will distribute syllabi, ensure grades are posted, process evaluations and prepare materials for first and last class nights. The Administrative Assistant will suport CAAP testing, ensure confidentiality of all records and support the communication between the center, Financial Aid and the Registrar's office.
Job Qualifications:
Required Knowledge and Skills: The successful candidate will have at least a high school diploma; some college or bachelor's degree is preferred. They must be detail oriented, and have the ability to define obstacles, collect data, establish facts and draw valid conclusions. They must be self-motivated and willing to take initiative when appropriate to do so. They must be excellent communicators with great listening skills. The ability to interpret the needs of the customer and deliver results is paramount to success. Must have working knowledge of MS Office products including MS Word, Outlook, Excel and Publisher. Must be able to learn and effectively use the University ERP system, Banner. Must have excellent organization and planning skills and able to set priorities and deadlines. Must be able to work in a team and/or with minimal supervision. Must have a valid driver's license. Local and possible in-state travel is expected but minimal. Must be able to move cases of paper and packages up to 30lbs. Must be able to effectively communicate in writing, in person and on the phone to perform the functions of the position.
